Ease of Use

AJ’s got a knack for kick-starting businesses, putting them on autopilot, and setting them up for acquisition. Over the past decade, he’s been right in the thick of things with hundreds of small businesses, helping them with just about everything under the business sun. If you need advice on software suites and choices? AJ’s your guy.

We roll up our sleeves and dive into the top CRM features we think are pretty crucial for small businesses. Stuff like reports and analytics, options to customize your pipelines, and the ability to link up with other apps and services. We know what makes small businesses tick, so we know what features they need to get the job done.

Money matters, folks! When it comes to picking a CRM system, price is usually the deal-breaker. We give a big thumbs up if a provider charges $30 or less per user each month for their starter plan. Extra brownie points for throwing in a freebie plan or trial, options to scale up or down as needed, and the freedom to pay monthly or yearly. We’re looking for flexability for small businesses.

We all know support is mega important when you’re choosing a CRM platform. This is especially true for those smaller businesses or sales teams who can’t afford to have tech wizards on their payroll. We put our detective hats on to see if these companies offer round-the-clock support, and we looked at the different ways you can get help. We’re talking live chat (like, real-time convo), email tickets, a good old-fashioned phone call, and self-service tools (for the DIY-ers out there).

When you’re in the business of picking a CRM, integrations are like the secret sauce that takes your burger from ‘meh’ to ‘mind-blowing’. Imagine, all your favorite apps and tools, working together in perfect harmony, making your workflow smoother than a fresh tub of Nutella. When we review a CRM, we look at the integrations most SMB owners are looking for.

When you’re reviewing a Customer Relationship Management (CRM) system, it’s essential to pay close attention to its ease of use. After all, a CRM is as beneficial as its usability. A simple, intuitive interface saves you and your team a great deal of time and headache. When we’re reviewing each CRM, this is a crucial aspect that we look for.

The importance of Mobile CRM cannot be overstated in today’s digital age. It’s essential for fostering strong customer relationships and managing business activities. Mobile access to CRM makes it possible for sales teams to update and access customer information in real time, improving efficiency and ensuring up-to-date data. Mobile CRM can have a massive impact on SMBs, so thoroughly testing it is essential for each one of our reviews.

The right features can make or break a CRM, so let’s see how and EngageBay stack up against each other.

EngageBay Top Features

Below are some of the best features we discovered while using EngageBay.

The ability to easily manage your contacts while scaling your business is crucial.

EngageBay offers seamless contact management, allowing you to store and organize all of your contacts in one place (with ease).

Let’s walk you through our experience (during our six months of testing EngageBay).

We added some of our affiliate marketing B2B contacts by clicking the “create new” button.

Here’s how a “new contact” card looked from our perspective.

With each card, we were able to easily edit and view contact information, add tags, and create custom fields (which our whole team could see)

The custom fields were easy to create and customize (shown below), requiring just a few clicks.

We created a checkbox that said “follow-up completed,” which helped our team avoid redundant follow-ups (and stay organized).

Once our contacts were added and our fields fully customized, here’s how our dashboard looked.

We could also easily customize our contact dashboard to reflect the info our sales team needed (which was awesome).

Our takeaway: EngageBay’s contact management is simple, organized, and flexible for SMBs across the board. We didn’t have a single issue with it during our testing.

Managing your pipelines can be a juggling act without the right tools.

Luckily, EngageBay offers powerful pipeline management (that we found incredibly easy to use).

We added our affiliate marketing partnerships to our pipeline with just a few clicks and a couple of fields filled out.

Here’s a “new deal” card to give you a better idea.

Within each card, we were able to easily store the following information:

NameDescriptionTrackMilestoneAmountClose dateTagsOwner Contacts associate

Talk about comprehensive! We could view every aspect of the customer sales journey from start to finish with EngageBay.

Check out our deals pipeline (once we had everything input).

The bottom line: We appreciated EngageBay’s visual sales pipeline and found it was easy to use. There was a ton of information available at a glance, and the best part is that this feature is completely free!

Managing your daily tasks while running a small business is a must!

EngageBay makes this process easy by providing some simple (yet effective) task management capabilities.

Let’s walk you through it.

We started testing this feature by adding some typical onboarding tasks we deal with at Small Business Bonfire.

Here’s how it looked every time we added a new task.

We especially liked the ability to easily assign a priority level to each task and add notes (as things got more complicated).

This ensured that our team stayed on track and didn’t miss anything important (which can happen in the blink of an eye).

Here’s how our task dashboard looked once everything was added.

The bottom line: While this isn’t the most impressive feature that the CRM provides, it’s extremely intuitive and surprisingly powerful!

A great email marketing campaign is like a successful recipe. All you need is the right ingredients and instructions to make it work.

EngageBay helps by providing some gorgeous email templates (shown below) that are beginner-friendly!

We started with this feature by creating all sorts of campaigns (over a six-month period).

For example, we were able to create an email campaign for the rollout of our newsletter—the Bonfire Field Guide (BFG).

The purpose of this campaign was to accomplish the following:

Introduce our newsletterDrive traffic back to our site Provide an additional resource for our Bonfire NationFollow up after an initial emailProvide each issue of our scalable guide

Here’s what the first template looked like during the creation process.

Once we created the content for our email templates, we could schedule and send off emails left and right!

We spent about 30 minutes creating the campaign and saved dozens (if not hundreds) of hours in the process.

The final verdict: Creating email campaigns can be daunting without the right tools. EngageBay provides the necessary templates and an intuitive creation process to make this process a walk in the park.

It’s beginner-friendly, offers some great marketing software, and doesn’t cost an arm and a leg!

If you want to capture new leads quickly, you must create effective web forms to convert visitors. This is where EngageBay swoops in to save the day!

This CRM software provides simple form creation and customization options (so you can start capturing leads immediately).

Here’s how we created a new web form in EngageBay (in under 10 minutes) for our Small Business Bonfire newsletter.

The best part is that there’s literally zero coding knowledge required!

We were able to easily able to accomplish the following with EngageBay CRM:

Add and customize fieldsAdd our company logoCustomize the color schemePreview the formEmbed it onto our website

Overall, this feature is a game-changer for sales and marketing-focused SMBs looking to grow their customer base in a big way.

If you’re looking for advanced features to help you scale your marketing efforts, look no further!

EngageBay offers a great tool (which is free and easy to use) to help build powerful landing pages.

EngageBay makes the creation process simple and intuitive with some gorgeous templates to help you get started (screenshot below).

Throughout our six months of testing, we used many of these templates to create various landing pages for SBB.

Here’s a sneak peek into the creation process (about halfway through) of one we created to showcase our newsletter.

What separates EngageBay apart from a lot of the competition here is just how easy the whole process is (from start to finish).

We could easily edit elements (like images, text, and buttons), add forms, personalize the page with our branding, and more—without coding knowledge.

Our two cents: Landing pages are an essential part of any marketing campaign. EngageBay makes creating them easy for users across all experience levels (not just tech wizards).

In today’s digital landscape, live chat is essential for any business

It’s a way to reach your customers in real time and provide immediate support.

EngageBay has a live chat feature built-in, and it’s completely free for all users!

The main selling points of EngageBay’s live chat function (in our opinion) include:

Easy setupFully customizable chat widgetAbility to track customer interactionsIntegration with EngageBay CRM

Check out our customization process for our Bonfire Support chat widget.

Once our colors were customized, logo added, and custom responses created, we could easily embed the widget on our site.

The process took less than 10 minutes and allowed us to quickly ramp up our service efforts!

Ticket management is an important aspect of customer service.

It can quickly become overwhelming if you don’t have a great system for tracking customer inquiries and resolving issues.

Thankfully, EngageBay offers a ticket management feature that makes this process seamless.

We were able to create custom ticket pipelines and set up automated responses for common inquiries (like password resets or general questions).

Once we had everything set up, we could manually add in our tickets (or have them automatically populate through EngageBay’s multichannel support).

Here’s a “new ticket” card to give you a better idea of how it looked for us.
Within each card, we were able to easily view and edit the following info:

SubjectAssigneeRelated contactMessagePriority

Having this information at our fingertips meant we could easily prioritize and resolve customer inquiries quickly (leading to happier customers overall).

Here’s how our ticket dashboard looked during our (six-month) testing period.
We really liked the ability to view each ticket’s status and priority at a glance.

Plus, EngageBay provides a ton of useful service automation to make the headache of manually assigning tickets a thing of the past.

At the end of the day, EngageBay’s ticket management feature is a must-have for any business looking to streamline its customer service process across the board.

Who doesn’t love manually sending out emails and responding to inquiries?

We sure don’t! Which is why we absolutely love EngageBay’s service automation feature.

Throughout our testing, this feature allowed us to do the following with ease:

Set up automatic email responsesProgram chatbot responsesAutomatically assign ticketsSend notifications based on things like prioritySend notifications for tickets that haven’t been updated in a certain amount of time

We created several automations to streamline our service processes and make our lives a bit easier.

Here’s a snapshot of our creation process, where we could easily add triggers, conditions, and actions to each automation.

It’s important to note that if you want to get serious with your automation, you will need to upgrade to a paid plan

However, EngageBay is surprisingly affordable, offering a ton of automation utility without breaking the bank.

Just like everything with EngageBay, the process was intuitive and user-friendly

So, if you’re looking to up your service game, EngageBay is a solid bet! Top Features

We added our affiliate marketing deals to our pipeline with just a few clicks and fields filled out.

We appreciated the ability to quickly view which stage each deal was in (with both Kanban and table views)

Here’s a snapshot of our Kanban view, allowing us to drag and drop each card to the appropriate stage in our pipeline.’s pipeline management is especially great because everything is color-coded, making it easy to differentiate between deals at a glance.

This feature is incredibly useful for busy teams looking to keep organized and stay on top of their sales processes.

The fact that we could use this feature for free and create unlimited pipelines at no extra charge was just the icing on the cake!

Check out our table view (shown below), which is’s classic mode essentially.

The bottom line: If you want to take your sales process to the next level and give your sales teams a tool to empower them to succeed, we recommend
